The Royal Victoria Hotel Snowdonia is a thriving 104-bedroom hotel located at the foot of Snowdon. As well as hosting tourists and business travellers, the hotel caters for weddings and other functions, employing 75 staff all year round and rising to 95 in the summer months.
The challenge
The hospitality industry is known for being particularly labour intensive, and the team at the Royal Victoria felt that they were lacking visibility over working hours and leave.
“We were using Excel spreadsheets to complete rotas, and paper timesheets for signing in and out — there were lots of challenges!” Ann Owen, Deputy General Manager at the hotel told us.
“It was tricky to ensure that working hours were tracked properly, and leave and absence were not being recorded. It also took a long time to calculate the cost of manning.”
We can now check working hours, leave, sickness and absences easily rather than having to trawl through reams of paper.
The solution
Ann and the team required a rota system that achieved two goals: first, to accurately forecast and report staffing costs; second, to track working hours and absence precisely and efficiently.
“Manning is a big expense for a hotel of this size, so the fact that RotaCloud can calculate and report the manning cost automatically is a great timesaver,” Ann explained.
“We can now check working hours, leave, sickness and absences easily on a screen rather than having to trawl through reams of paper.”
The various options for clocking in and out were the main draw for Ann and the team.
“We use all available methods for clocking in and out — some use the smartphone app, some use the terminal app via tablets we have at various points in the building, and some use the clocking in terminal through a PC.”
